The Corto AI Form Filler allows you to automatically complete fillable forms in PDF or Microsoft Word. This guide helps you streamline your workflow by leveraging CORTO AI to extract relevant information from your matter documents and populate the fields accurately.

⚠️ Important: The CORTO AI Form Filler only works with fillable forms. This means the document must contain active fields (e.g., text boxes, checkboxes) that are designed to accept input. Scanned documents or plain text forms without fields cannot be filled automatically.

Forms that simply use underscores or blank lines (e.g. Name: ___________ or Name: ) will not work, because these are just static text, not recognized fields. The AI cannot detect those areas — they behave like any other piece of text in the document.

⚠️ Important: If a field is fillable but the required data is missing from your Matter documents, CORTO AI will skip it. You can manually complete any skipped fields directly in the downloaded form.
⚠️ Note for Word Users: At the moment, only Legacy form fields are supported. If the form isn't recognized by Corto AI, it will not work. 
💡 Tip: To maximize form completion, make sure your Matter contains all relevant client details and documents before using the Form Filler.

1. How to Use the Form Filler

  1. From your Matter list, click the Matter you want to use for form filling.

  2. Open the Form Filler button in the top navigation bar

  3. There are two options to Add a Form

    1. Drag and drop a document here: Drag the form file into the Form Filler interface

    2. Browse your files: Select the form from your device using the browse option

After you drag and drop or browse for a form, the document will appear with a progress bar underneath its name. CORTO AI will automatically fill in the fields, and you will see the completion percentage on the right-hand side of the progress bar.

⚠️ Note: Processing time depends on the number of fields and complexity of the form. Do not refresh the page during processing.
⚠️ Note: You can cancel the process at any time by Clicking the 'X' icon. This will remove the document from the queue.

  1. View Filled Form

    1. After completion, the filled form will appear on the Form Filler interface

  1. After the form is filled, you have several actions available for the completed form

    1. Click the Download icon to the left of the three-dot menu to save the completed form to your device.

    2. Click the three-dot menu on the right-hand side of the document. You will see the following options for each file

      1. Download: Save the completed form to your device.

      2. Preview: View the filled form before downloading

      3. Delete: Remove the form from the Form Filler interface

      4. Retry: Re-run the form filling process if needed

💡 Tip: Once a form is added to the Form Filler interface, you can toggle between All, Done, In Progress, and Failed to quickly see the status of each document.

2. Search Within the Form Filler

The Form Filler interface includes a search bar that helps you quickly locate a specific document in your list.

  • Enter part of the file name to filter results.

  • Useful when you’re working with multiple forms in the queue.

  • Helps avoid scrolling through long lists of uploaded documents.

💡 The search bar only appears when at least one document has been added. If no documents exist in the queue, the search option will not be visible.

Troubleshooting & FAQs

Q: Form isn’t being filled?
A: Ensure it is a fillable PDF or a Word Legacy Form Field.
Q: Processing is slow?
A: Large forms or many fields may take longer to populate.
Q: Need to stop?
A: Click Cancel during processing.

💡 Tip: For best results, ensure your matter documents are complete and up-to-date.
